This Privacy and Security Policy is provided for the benefit of existing and prospective customers of Easy Systems, Inc. (“Easy Systems”), as well as other consumers and parties who seek information from or about Easy Systems.

2.1 Definition of Personally Identifiable Information

2.1.3 Personally identifiable information also does not include raw data that becomes aggregated for statistical purposes and cannot, thereafter, be identified with you as a unique individual or entity.
2.2 Information Collected
2.2.1 Easy Systems collects information that is considered PII and other information that, by itself, would not be considered personally identifiable information, particularly financial information, a customer’s order history, and items included in the customer’s wishlist.
2.2.2 Typically, Easy Systems limits the personally identifiable information collected about an individual or entity to the individual’s or entity’s name, address, shipping information, billing information, phone number, fax number, electronic mail (“e-mail”) address, credit card information, and date of birth.
2.3 Collecting and Using Personal Information
2.3.1 Easy Systems will explain how it intends to use your personally identifiable information either before it collects the information (such as in this Privacy and Security Policy) or contemporaneously with the solicitation of such information about you. Exceptions may exist where the intended use is obvious to a reasonable person.
2.3.2 We will use the information collected only for the purposes explained to you. Further, we limit the collection of personally identifiable information to only that information which is necessary for the purposes explained to you.
2.3.3 Unless we are required to do so by law, we shall not obtain your consent before collecting personal identifying information about you from parties other than Easy Systems. Rather, Easy Systems shall presume that you have previously provided such consent to any such third party from whom Easy Systems obtains such information.
2.3.4 Easy Systems restricts the use of your personally identifiable information to Easy Systems’ personnel.
2.3.5 We shall not sell your personally identifiable information.
2.3.6 We may use your e-mail or regular mail address to send you communications about your transactions and our company as well as to notify you of relevant product news, new products and services, daily status updates, or other information that we believe may be of interest to you. If you do not wish to receive electronic communications unrelated to your transactions with our company, you may “opt out” of the electronic distributions upon receipt of any such communication. 2.4 Site Logins / Access to Private Site Areas
2.4.1 In order to access certain areas of corporate-owned Easy Systems websites, you will be required to submit certain identifying information, such as a username and password.
2.4.2 You may decline to give such information when requested. However, you will be denied access to certain areas and be unable to purchase products from the websites. In consideration for the use of the site, you agree to provide us with true, accurate, and current information as requested by our registration procedures, and agree to keep this information up to date. Failure to do so shall constitute a breach of this policy and the websites’ Terms of Use.
2.5 Non-Personally Identifiable Information
2.5.1 In addition to collecting personally identifiable information as previously described, Easy Systems also collects other non-personally identifiable information.
2.5.2 Non-personally identifiable information collected by Easy Systems may be utilized without restriction.
2.5.3 Although non-PII can be used in a number of ways, you can be assured that the use of non-personally identifiable information cannot identify you as an individual or entity.
2.5.4 Because non-PII cannot be used to identify you, Easy Systems may in its discretion provide non-PII to third parties.
2.6 Information Obtained From Use of Easy Systems’ Websites
2.6.1 Cookies and Tracking Technologies
Cookies are small data files stored on your device that allow our website(s) to identify your browser, session state, and user preferences. Easy Systems utilizes first-party and third-party cookies, tags, and tracking scripts to provide functional security, enhance site navigation, analyze store performance, and optimize user experience.
Disabling or rejecting cookies via your browser settings or our consent controls may prevent you from accessing password-protected, private, and secure areas of our website, and may diminish your online shopping experience.
2.6.2 Analytics and Behavioral Tracking Tools
We partner with third-party analytics and behavioral insights tools to better understand how users interact with our website:
Google Analytics 4 (GA4): We utilize GA4 to measure website traffic, user interactions, and enhanced e-commerce conversion funnels (such as product views, cart additions, and order checkouts). Microsoft Clarity: We partner with Microsoft Clarity to capture how you use and interact with our website through behavioral metrics, heatmaps, and session replay to improve and market our products/services. Website usage data is captured using first- and third-party cookies and other tracking technologies to determine the popularity of products/services and online activity. 2.6.3 IP Addresses
Easy Systems maintains logs of IP addresses when you access our corporately owned websites. An IP address by itself does not allow us to identify you personally; however, it allows us to analyze site traffic patterns, diagnose server issues, evaluate geographical trends, and protect against security threats. Easy Systems does not directly collect any personal information about you unless you voluntarily provide us with this information or place a formal request for services payable online, other than your IP address.
2.7 Data Retention
2.7.1 The length of time for which Easy Systems retains your PII, financial, and other information will vary depending on the nature of the services for which the information had been collected and the nature of the information.
2.7.2 Generally, Easy Systems will retain information collected for a period of five (5) to seven (7) years subsequent to the completion of services, or as otherwise required by law.
2.7.3 Although this period may extend beyond the end of your relationship with Easy Systems, it will be retained for only so long as necessary for Easy Systems to respond to any issues arising from your relationship with Easy Systems.
2.7.4 When Easy Systems no longer needs or requires your personal information, Easy Systems will destroy, delete, erase, or convert the information to an anonymous form.
2.7.5 Easy Systems will delete all stored credit card information for accounts that have been inactive for more than one (1) year.
3. CONSENT AND COOKIE PREFERENCES
3.1 Easy Systems may obtain your personal information through a variety of sources. For each source or method, the manner of consent may differ.
3.2 Interactive Cookie Consent: When visiting our website, you are presented with a cookie banner that allows you to manage or accept cookie usage. 5. SECURITY
5.1 Easy Systems recognizes that it is essential that all data be protected and takes the issue of protecting your personal information very seriously. Easy Systems protects the information it obtains about you with appropriate safeguards and security measures consistent with international information practices. These measures include technical and procedural steps to protect your data from misuse, unauthorized access or disclosure, loss, alteration, or destruction. While we disclose below some of these measures in general terms, we neither identify all of the measures employed nor all of the information related to such measures as part of our security protocol.
5.1.1 SSL Encryption: Personally identifiable information and any other information Easy Systems deems of such nature is collected and transmitted using secure socket layer (SSL) encryption. Further, Easy Systems keeps this information in an electronic database with controlled access. Any paper copies of documents containing such information are similarly kept in restricted areas.
5.1.2 Passwords: Passwords required for corporate website access and e-mail access are masked through visual encryption. Easy Systems restricts new user account setups to a designated team of employee-based professionals. Consequently, only members of this core team can obtain access to active usernames and passwords. Access is denied to all other Easy Systems personnel.
5.1.3 FTP Access: FTP and secure file transfers are facilitated through traditional network security methods, while options to utilize secure encryption technologies are maintained across server connections.
5.2 Again, for security purposes, Easy Systems does not disclose all of its security measures. Be assured that Easy Systems does employ industry-standard measures to protect your information.
6. DISCLAIMER AS TO THIRD-PARTY WEBSITES
Although our corporate-owned websites contain links to other third-party websites (including third-party payment gateways and external marketplaces), Easy Systems is not responsible for the privacy practices or the content of such websites and specifically disclaims any such responsibility. Easy Systems does not monitor the privacy practices or content of these websites. 7. REVISIONS TO PRIVACY AND SECURITY POLICY
7.1 Easy Systems reserves the right to revise, amend, or modify this Privacy and Security Policy, our Terms of Use, and other online policies and agreements at any time and in any manner.
7.2 Easy Systems shall provide notice of such changes by posting the revised policies to the applicable Easy Systems owned websites, in addition to sending notice as provided and/or required by law.
